E-Document and Personnel Coordination Unit

The E-Document and Personnel Coordination Unit follows all kinds of control, planning and personnel software procedures in order to intervene with the problems that may arise in the Electronic Document Management System and Personnel System used within the University and pursues the necessary procedures in the end user trainings and also prepares the training environments. The Electronic Document Management System (EBYS) allows online document exchange within the University and document transfer among official institutions/establishments.

Duties and Responsibilities of Electronic Document Management System: 

* Enable all units within our university to use Electronic Document Management System smoothly,

* Ensure that the Academic and Administrative Personnel who will use electronic document management system to make the user name and password definitions necessary for the entry into the system and to resolve the problems which may arise.

* Control the generally defined workflows on the Electronic Document Management System and to intervene in the problems that may arise,

* Monitoring Role-based Authorization Processes on Electronic Document Management System,

*Provide the necessary authorization and identification of the University Units within the Electronic Document Management System,

*Make the form design which may be necessary for our university in Electronic Document Management System and transfer the form on this system,

* Make or provide the necessary workflow definitions of the Document Templates and Forms prepared within the Electronic Document Management System,

* Provide the necessary environment and permissions to the company personnel to intervene in the problems that may arise on the servers where Electronic Document Management System is installed,

* Correct problems from the users or to forward them to the staff of the company authorized for our University and to follow the necessary procedures,

*Follow the procedures and prepare the necessary environment for the provision of training to the personnel who will be trained for the Electronic Document Management System,

* Provide all necessary assistance documents for personnel who will use Electronic Document Management System,

* Provide necessary coordination in e-signature related transactions,
